Configure billable defaults, activity categories, and automatic actions
Switch to the company you want to configure and open Company settings. These settings apply to the active company and can change the behavior of newly created or AI-suggested entries.
Default to BillableEnable Default to Billable when most new work is chargeable. Leave it off when users should explicitly mark chargeable work.
The default reduces repetitive entry but does not override every connected source. Timekeepers must still verify the billable setting before saving or submitting.
Activity categoriesEnable Use Activity Categories to classify time into reusable business categories. Use Manage Activity Categories to create, edit, or remove the available values.
Activity categories support filtering, reporting, and AI auto-classification. Choose names that describe the work consistently across projects, and avoid creating near-duplicates.
UTBMS codesEnable Use UTBMS Codes when the company uses legal billing standards. Select default activity and task sets for new projects, or create a custom set when required.
Projects can resolve their own allowed code sets, so the options visible on an entry may be narrower than the company-wide catalog.
Primary quick action for AI suggestionsUnder Time Entry Quick Actions, choose the primary action displayed on AI-suggested entries:
- Save marks the suggestion Ready to Bill.
- Save & Sync also sends it to the configured external system.
- Save & Submit also submits it through the approval chain.
An owner or administrator can select a nightly action for the previous day's AI-suggested entries and set a confidence threshold. Choose Off, Save, Save & Sync, or Save & Submit.
Only suggestions at or above the threshold are processed. Submission also requires a client project. Start with a high threshold, review several days of results, and keep the feature off when automatic billing or submission is not appropriate for company policy.
Review after changing settingsCreate a test suggestion and manual entry. Confirm the default billable value, category or code options, primary action, and any sync or approval behavior before applying automation to production work.
