Set up your company profile and defaults

Open the correct company settings

Use the company switcher first, then choose Company settings from the left rail. Settings apply to the active company, so confirm the displayed company name before editing anything.

Complete the company profile

Review the company name, industry, website, description, and postal address. Accurate company information helps users distinguish workspaces and supports downstream business workflows.

Individual company entities may display personal-name or job-title fields instead of firm-only fields.

Configure time-entry defaults

Review the settings that control how new and captured time is prepared:

  • Default to Billable for new time entries;
  • activity categories, when your company classifies work;
  • Use UTBMS Codes and the default activity set for legal billing;
  • default email duration and email-thread behavior;
  • folder mapping and mapping instructions for connected sources; and
  • optional display of billing data.

Defaults reduce repetitive entry, but timekeepers should still verify every record before submission.

Choose the project naming convention

Under Project Naming Convention, choose the terminology your company uses. TimeSentry can display Project, Matter, or Case while retaining the same underlying project behavior.

Changing the label does not move or duplicate project data.

Configure billing defaults

If your company uses a general fallback rate, enable Use Default Billing Rate and enter the default amount. Maintain engagement-specific and timekeeper-specific rates in contracts when available; those commercial terms are more precise than a global fallback.

Set the preferred timezone

Choose Preferred Timezone carefully. TimeSentry uses the company timezone when displaying and filtering dated records. A wrong timezone can make entries near midnight appear on an unexpected date.

Review recording and capture privacy

Configure meeting and call recording behavior according to company policy and applicable consent requirements. Available choices include always record, never record, or prompt for consent where supported.

Heartbeat monitoring can record when capture clients last reached TimeSentry. Payload storage is a separate, more sensitive setting and is forced off when heartbeat storage is disabled. Enable it only when the operational need and retention policy are clear.

Save and test

After saving, create a small test project and time entry. Verify the naming convention, timezone, default billable status, activity fields, and billing behavior before inviting the full team.
