Generate and review AI-suggested time entries

Before you generate entries

AI generation works best after you connect the activity sources your company uses and create the clients and projects that should receive work. Confirm the active company first; generation and its results are company-scoped.

Connected sources can include supported email, calendar, chat, phone, browser, desktop, document, and practice-management activity. Only sources enabled for the active company are available.

Start AI generation
  1. Open Time > My Time.
  2. Choose Use AI or Create Entries with AI.
  3. Select the source integrations to include.
  4. Optionally select a client. When a client is selected, TimeSentry can scope email, calendar, and phone activity to chosen contact addresses.
  5. Choose one date or a date range. The current range workflow is limited to 10 days per request.
  6. Select the AI processing mode.
  7. Add special instructions when useful.
  8. Choose Generate AI Entries.

Generation runs as a background task. You can track it from the notification control and continue using the application.

Choose a processing mode
  • Generate time estimates creates estimates from detected activity.
  • The allocation mode uses the total hours you provide and distributes that time across the generated work.

Use special instructions to add context, such as focusing on client meetings or including travel time. Instructions guide the generation request but do not replace review.

Review the results

Generated records appear with the AI Suggested status. Review:

  • date and duration;
  • client and project;
  • timekeeper;
  • description;
  • billable setting;
  • activity category or UTBMS codes; and
  • confidence and mapping explanation when displayed.

Edit or remap an incorrect suggestion. Archive a suggestion that does not represent real work.

Save, submit, or sync

The primary action for AI suggestions is configurable in Company Settings:

  • Save makes the entry Ready to Bill.
  • Save & Sync also sends it to the configured external system.
  • Save & Submit also submits it through the approval chain.

The application only shows actions that are valid for the entry and active company. A project assignment may be required before an entry can be submitted.

Protect client information

Select only the sources and contact addresses needed for the generation task. Review recording, heartbeat, and connected-system privacy settings before enabling broad capture. AI suggestions are drafts; the user remains responsible for accuracy and billing compliance.
