Understand plans, feature availability, and roles

Three controls determine access

Feature availability in TimeSentry depends on three separate controls:

  1. Active company: determines which workspace and records are in scope.
  2. Role and permissions: determine which actions your login can perform for that company.
  3. Plan and configuration: determine which product capabilities and usage limits are enabled for the company.

Passing one control does not bypass the others. An owner cannot use a feature excluded from the company's plan, and a paid plan does not give every associated user administrator permission.

Company roles

Company associations use owner, administrator, and user-level access. Owners and administrators can perform broader company-management actions, while regular users are generally limited to work and records available to their role and relationships.

Some features add more specific permissions. For example, an AI agent's handlers and tools have their own access configuration, and project participation remains company-scoped.

Plan entitlements

TimeSentry resolves feature access from the active company's account, current trial or subscription, and plan configuration. When no paid entitlement applies, free-plan behavior and limits are used.

Plans can control both whether a capability is enabled and how much it can be used. Automatic capture, managed agents, or other compute-intensive features may have plan-specific limits.

Configuration requirements

An enabled feature can still appear empty until it is configured. Examples include:

  • Calendar without a calendar integration;
  • AR or AP without billing data;
  • Staffing without projects and allocations;
  • capture health without registered capture clients; and
  • integration-specific actions without an authorized connection and mappings.
Troubleshoot a missing feature
  1. Confirm the active company.
  2. Check whether another owner or administrator can see the feature.
  3. Review the company's account, trial, or subscription status.
  4. Confirm that the required integration or setup is complete.
  5. Sign out and back in after a recent role or subscription change if the interface has not refreshed.

When contacting support, include the active company name, missing page or action, your company role, and any authorization or plan message shown. Do not include API keys, relationship keys, or confidential client data.
