Create and manage expense entries
- Confirm the active company.
- Open Expenses and choose Add expense.
- Select the client and project. Both are required.
- Enter the expense date and an amount greater than zero.
- Select Reimbursable if the company or client should repay the person or entity that incurred the cost.
- Add a description that explains the business purpose.
- Save the expense.
The project controls which company's books and client engagement the expense belongs to. If a client or project is missing, verify the active company, project status, and your access to the project.
Edit an expenseOpen the row menu and choose Edit expense entry. Update the client, project, date, amount, reimbursable setting, or description, then save.
An expense that has already been submitted or approved may not be editable. Use the actions offered for that row; TimeSentry calculates available actions from the expense's status and your company context.
Understand common actions- Submit sends a ready-to-bill expense for review.
- Recall pulls back a submitted expense before approval.
- Approve accepts an expense that needs your company's review.
- Reject returns it for correction.
- Archive removes an expense from normal working views without immediately deleting it.
- Unarchive returns an archived expense to active views.
- Delete permanently removes an expense when that action is available.
Use bulk actions only after reviewing the selected rows. Available bulk actions depend on what every selected expense is allowed to do.
