Set weekly capacity and interpret utilization

Set weekly capacity
  1. Open Org > Staffing > Team.
  2. Select a team member.
  3. Update weekly hours to the person's normal available capacity.
  4. Confirm the project allocations shown below it.

Weekly hours are the denominator for allocation and utilization percentages. Use expected working capacity, not hours already assigned to projects.

For example, a member with 40 weekly hours and 30 allocated hours is 75% allocated. Reducing capacity to 30 without changing the allocation makes the same assignment 100%.

Understand the Utilization grid

Open Utilization and choose Weekly or Monthly. Each cell compares hours with capacity for that period:

utilization percentage = hours ÷ period capacity × 100

Past periods use actual logged time when available. Current and future periods use the run rate of today's project allocations and appear as projected values. The Team total row compares total hours with total capacity across all listed members.

Click a cell to review its project breakdown. This helps distinguish one heavily staffed project from several smaller assignments.

Interpret percentages carefully
  • Below 100% means some capacity is not represented by the listed hours.
  • 100% means hours equal the configured capacity.
  • Above 100% indicates over-allocation or logged time beyond configured capacity.
  • A missing percentage usually means capacity is zero or unavailable.

Utilization is not the same as realization or profitability. It measures hours against capacity; financial performance also depends on billable status, contract rates, revenue, and cost.

Resolve unexpected utilization

Check the active company, weekly hours, weekly versus monthly view, project allocations, date range, and whether the cell is actual or projected. Correct the underlying capacity, allocation, or time entries rather than editing a percentage.
