Add Multiple Time Entries with Bulk Entry in TimeSentry

Summary: Enter several time records in one session while keeping each date, client, project, duration, and billing classification accurate.

Bulk Entry is useful when reconstructing a day or week of work, importing notes from another source, or recording several short tasks without opening the manual-entry form repeatedly.

Open Bulk Entry

1. Go to Time > My Time.
2. Select Bulk Entry.
3. Add a row for each distinct block of work.

Complete each row

For every entry, review the available fields:

• date;
• duration;
• client;
• project;
• description;
• billable status;
• activity category;
• UTBMS activity and task codes, when enabled.

Keep unrelated clients, projects, or descriptions in separate rows. Do not combine several engagements into one entry simply because they occurred on the same day.

Use company defaults carefully

TimeSentry may apply defaults such as billable status, activity category behavior, or UTBMS code sets. Defaults speed up entry, but you remain responsible for confirming that each row is correct.

If a project has its own UTBMS sets, those project settings should take precedence over general company defaults.

Save and review

Submit the bulk form after all required fields are complete. Then return to My Time and review the new entries with the relevant date filter.

Bulk creation does not remove the normal approval rules. Entries must still be saved or submitted through the actions available to the active company.

Common errors

• A row will not save: look for a missing required date, duration, client, project, description, or code.
• The wrong project is shown: choose the client first and verify the active company.
• Codes are unavailable: confirm that UTBMS is enabled and the intended code sets are assigned.
• Entries are not visible afterward: reset date and status filters and check Include Archived or Include Spam only when relevant.
