A project or client isn’t appearing in my time entries
1. Confirm the active company
Use the company switcher in the left navigation and verify that you are acting as the company that owns or performs the work. Client and project choices are loaded for the active company. A project visible in one company workspace may correctly be absent from another.
After switching companies, reopen the time-entry form so its client and project list refreshes.
2. Search by both project and client name
In the project dropdown, typing a search term searches across both project names and client names. If a client is selected and the search field is empty, the dropdown shows only that client's projects.
Try these checks:
- clear the client selection and search for the project directly;
- clear the project search and select the client first;
- check for spelling differences or a renamed project; and
- remember that your company may label projects as Matters or Cases.
Selecting a different client clears the current project selection so an entry cannot silently remain attached to the previous client's project.
3. Verify the project belongs to the intended client
Open Org > Projects and inspect the project. Confirm that the project is owned by the expected company and connected to the correct client. If the engagement crosses companies, verify the linked upstream project and the company relationship.
The time-entry dropdown is built from the active company's client-and-project map. A client without an accessible project, or a project without the expected client link, will not appear in the combination you expect.
4. Verify project access and team setup
Confirm that the timekeeper is part of the project team or otherwise has the required relationship and role. Project access is company-scoped. Adding a login to the account does not automatically give every associated company access to every project.
Ask an administrator to review the project team, company relationship, and your role if you can see the client elsewhere but cannot select its project.
5. Check whether the record was renamed, replaced, or archived
Search Org > Projects for the engagement and review its current state. If an old project was replaced by a new linked copy during an import or relationship change, select the current project. Restore an archived project only when your organization's retention policy and workflow require it.
6. Refresh imported or connected data
For projects managed by a practice-management or other external integration, check the integration's connection and last synchronization. Review its mapping rules before manually creating a duplicate project. A mapping problem should be corrected at the integration or relationship level.
If the problem continues
Record the active company, client name, project name, timekeeper, and whether the project is visible under Org > Projects. Include the source integration if applicable. This information identifies whether the issue is workspace scope, access, mapping, or missing project data.
