Organize documents with categories and tags
A category is a primary classification, such as Contract, Invoice, Receipt, or Meeting Material. A document can use one category.
Tags are flexible secondary labels, such as Urgent, Signed, 2026, or Discovery. A document can have multiple tags.
Use categories for stable record types and tags for cross-cutting attributes. Avoid creating a separate category for every client or project because those records already have their own document filters.
Manage categoriesOpen the category management dialog from Documents. Create a category with a clear name, optional description, and color. You can edit an existing category or delete one.
Deleting a category does not delete its documents. Those files simply become uncategorized, so reclassify them when needed.
Manage tagsOpen the tag management dialog. Create a short tag name and choose a color. You can edit or delete existing tags.
Deleting a tag removes it from documents that used it but does not delete the documents.
Apply organization to a documentUse the category control in the document row to choose the primary category. Expand the row to add or remove tags. Changes are saved to the document and become available in filters.
Agree on a small company-wide vocabulary. Duplicate labels with minor spelling differences make filters less useful.
