Manage clients, employees, contractors, collaborators, and vendors
TimeSentry represents people, firms, clients, contractors, and other work participants as company entities. A contact is address-book information; a company relationship affects projects, time, approvals, contracts, and reporting.
Open Org and use the page that matches the relationship:
- Clients: companies receiving services or funding work.
- Employees: individual companies working as employees of the active company.
- Contractors: external providers performing work for the active company.
- Collaborators: companies working together without a strict employee or contractor relationship.
- Vendors: suppliers or service providers used in purchasing and expense workflows.
TimeSentry also supports other relationship types, including employer, customer, prospect, agent, and handler, in the workflows where they apply.
Connect an existing companyUse the target company's Relationship Key in the Company Key field. This links the existing company and keeps its identity, projects, and workspace intact.
When adding a client, specify whether the active company is the client's contractor or employee when the form asks. Choose the real commercial relationship because it can influence project and approval behavior.
Create a new company recordCreate a new company only when the party does not already have a TimeSentry entity. Enter a clear name and enough identifying information to distinguish it from similarly named organizations.
Employees are represented as individual company entities. Do not create a firm record to represent one employee.
Review and update relationshipsUse each Org table to search, review, and update connected companies. Before removing a relationship, inspect its projects, contracts, pending time, invoices, integrations, and staffing allocations.
Removing a relationship does not mean that historical financial or timekeeping records should be deleted.
Avoid duplicatesSearch all relevant relationship pages and ask the other party for its Relationship Key before creating a record. If a duplicate already exists, stop adding data and ask an administrator or support to determine the authoritative entity.
