Create and Manage Time Entries in TimeSentry

Summary: Add, review, edit, save, submit, archive, and restore time entries from the Time workspace.

Time entries record who performed work, when it occurred, how long it took, what it was for, and whether it is billable. They can be created manually or generated by a capture source.

Create a manual entry

  1. Open Time > My Time.
  2. Select Manual Entry.
  3. Choose the date and enter the duration.
  4. Confirm the timekeeper.
  5. Select the client and project when the work belongs to an engagement.
  6. Enter a clear work description.
  7. Set the billable status.
  8. Choose an activity category or UTBMS codes when your company requires them.
  9. Save the entry, or choose another available action such as Save & Submit.

The available fields and actions depend on company settings, your role, the project relationship, and the entry's current status.

Review captured or AI-suggested entries

Entries may be created from the timer, desktop app, Chrome extension, Office add-ins, mobile app, email, calendar, chat, phone, or AI-assisted generation. The Source column identifies the capture source. AI-suggested entries can also show a confidence score.

Before accepting a suggestion, review the client, project, duration, description, billable status, and codes. Use the primary quick action configured by your company: Save, Save & Sync, or Save & Submit.

Understand common statuses

  • AI Suggested: generated work awaiting review.
  • Ready to Bill: saved work that is ready for the company's billing workflow.
  • Submitted: sent to the next company for review.
  • Needs Review: requires attention in the receiving workspace.
  • Approved: accepted in the applicable approval chain.
  • Rejected: returned for correction.
  • Recalled: pulled back by the submitter when permitted.
  • Synced: sent to a connected external system.
  • Copied: an internal linked-record state used when work has moved to another company's editable copy.

TimeSentry displays the status and actions that apply to the active company. The same logical work can have a different status in another workspace.

Filter and search

Use filters for date range, client, project, status, timekeeper, source, billable status, hours, confidence, and other available options. You can include archived or spam entries when investigating missing data.

Reset filters before concluding that an entry is missing.

Edit or archive an entry

Open the entry or use its Actions menu. Editing is limited by the current status and the active company's ownership of that record. Do not delete or change an entry that belongs to another company's side of an approval chain.

Archive an entry when it should leave normal working views but remain recoverable. Use Include Archived to locate and restore it.

Export time

Use the export controls available in the Time workspace to create a timesheet or data export. Confirm the active company and filters first; exports reflect the current company-scoped view.
