Connect and configure QuickBooks Online

Connect QuickBooks

Open Integrations, select QuickBooks, and authorize the correct QuickBooks company. Return to TimeSentry and open the connection in Manage Integrations.

Confirm the TimeSentry active company and QuickBooks company before importing. A mistaken company selection can create records in the wrong books.

Configure mappings

The QuickBooks management screen can include:

  • Chart of Accounts: map TimeSentry accounts to QuickBooks accounts.
  • Clients: map TimeSentry clients to QuickBooks customers.
  • Projects: map TimeSentry projects, matters, or cases to QuickBooks projects.
  • Invoices: import QuickBooks invoices.
  • FPA Setup: map QuickBooks accounts to financial-planning statement lines and pull supported transactions.
  • Expense Sync: configure how eligible expenses are sent to QuickBooks.

Prefer mapping existing records over importing duplicates. Review unmapped and already mapped items before choosing an import or sync-all action.

Synchronize invoices and expenses

Eligible invoices can be synchronized from their TimeSentry row. Expense entries can be sent to QuickBooks as bills when the connection and mappings are configured. Background jobs may take time; use the notification area and external links to confirm completion.

Do not repeat an action simply because it is still processing. First check QuickBooks and the TimeSentry record for an external identifier or link.

Reconcile results

Compare customer, project, account, amount, date, status, and invoice number in both systems. Record created, updated, and skipped counts after an import. Correct mappings before the next sync instead of manually repairing every downstream transaction.
